1. Acceptance
These Terms govern the use of the Medvoice app and service, offered by Qub8 Soluções em Software e Infraestrutura Digital Ltda. (“QUB8”), CNPJ 62.288.490/0001-20, headquartered at Rua Felipe de Oliveira, 728, Petrópolis, Porto Alegre/RS. They apply together with the Privacy Policy. By accepting them in the app, you declare that you have read them and agree to them. If you do not agree, do not use the service. You may sign out of your account or delete it.
2. The service
Medvoice is a tool that supports clinical documentation. It records or receives the audio of a consultation, transcribes the conversation, and generates a draft clinical document for the professional to review, edit, copy, or share.
The service must not be used in emergency situations or as the sole means of recording critical information.
3. Who may use it
Medvoice is intended for people aged 18 or older who are licensed health professionals or researchers. Recording is enabled only after the account is approved, and registration may go through a manual check. Those who provide a CRM and UF are registered as physicians; those who do not, as researchers. The professional guarantees that the registration data is true and that they are qualified for the activity they document.
4. Your account
- The account is personal and non-transferable. Do not share it or allow another person to record with it.
- Access is through email and password, with the email address confirmed by a code, through your Google account or through your Apple account. Protect your password, access to your email account and to the Google or Apple accounts you use, and the device on which you use the app.
- Notify us immediately at contato@qub8.com.br if you suspect misuse.
- Changes to name, CRM, or UF go through a new approval before you can record again.
5. Clinical responsibility
The professional is solely responsible for the care provided, for clinical decisions, and for the final content of the medical record. Before using a document, they must review it in full, correct anything that is wrong, and mark it as reviewed. The app enables copying and sharing only after that mark.
The professional is also responsible for complying with the rules of their professional council, the rules on confidentiality and medical record keeping, and the policies of the institution where they work.
6. Patient authorization
Before each recording, the professional must read the notice displayed in the app to the patient, obtain the patient’s authorization, and only then check the confirmation. For patients who are children or adolescents, the authorization must come from one of the parents or the legal guardian. When importing audio, the professional declares that they are authorized to use that recording and to have it processed by third-party AI services.
If the patient refuses, do not record. Recording or importing a conversation without the authorization of the people recorded is prohibited.
7. Permitted use
You agree not to:
- use the service for unlawful purposes or for anything other than documenting authorized encounters and research;
- upload audio or content that you do not have the right to use;
- attempt to access other users’ data or to circumvent limits, quotas, or security controls;
- copy, reverse engineer, or resell the service, or use it to build a competing product;
- overload or disrupt the operation of the infrastructure.
8. Your content
The audio, transcript, and document of each encounter belong to the professional or to the institution responsible for the medical record, according to the relationship between them. You grant Medvoice only the permission necessary to store, process, and display that content in order to provide the service to you. We do not use your content to train artificial intelligence models.
The software, the brand, and the other elements of Medvoice belong to QUB8. Suggestions and ratings you send may be used to improve the product, with no obligation of compensation.
9. Pilot, availability, and limits
Medvoice is in a pilot phase. Features may change, be suspended, or be discontinued, and the service may be unavailable due to maintenance, provider failures, or causes beyond our control. We do not guarantee that it will work without interruption or that all audio will be processed.
Each account has a daily encounter quota, which Medvoice may adjust. Commercial terms, where they exist, will be agreed separately.
10. Limitation of liability
To the maximum extent permitted by law, QUB8 is not liable for damages resulting from clinical decisions made on the basis of an unreviewed document, from a transcription or generation error not corrected during review, from a recording made without the patient’s authorization, from use of the account by third parties, or from what happens to the document after it is copied or shared. Nothing in these Terms excludes liabilities that the law does not allow to be excluded.
11. Suspension and termination
We may suspend or terminate an account that violates these Terms, that puts patients, users, or the service at risk, or when the pilot ends, giving advance notice whenever possible. You may stop using Medvoice and request deletion of your account whenever you wish, as described in Delete account. Before deleting, copy the documents you need: deletion is permanent.
12. Changes, governing law, and jurisdiction
We may update these Terms. Relevant changes result in a new version, published on this page and presented in the app for a new acceptance before you continue using the service.
These Terms are governed by the laws of the Federative Republic of Brazil. The courts of the judicial district of Porto Alegre/RS are elected as the forum, unless otherwise provided by law. Questions: contato@qub8.com.br.
